JOB SUMMARY

The job performs activities required for receiving materials on behalf of Highmark Health and shipping items to external customers, clients, business partners and to other Highmark campuses.  Responsibilities relating to receiving include; adequate inspection of materials for damages, verification of addresses, and directing materials accurately to the intended recipient in a timely fashion while adhearing to  the chain of custody procedures.  The incumbent complies to OSHA regulations by observing safety precautions when operating vehicles or material-handling equipment such as power jack or fork lift.  Ensures that all materials received are correctly assigned to appropriate recipients, while following the Department of Health and Human Services – HIPAA standards as this has an impact on the Organization’s Star Rating and compliance with government and BCBSA regulations.  The incumbent reports potential breaches, found in damaged packages, with possible PHI exposure to management and Privacy within established timeframes to mitigate risks to the company.  Additional responsibilities relating to shipping include; offer training to UPS Campus Ship users, daily monitoring the transit of packages shipped via UPS to ensure timely delivery and resolve discrepancies found therein.

ESSENTIAL RESPONSIBILITIES

  • Follow corporate and department guidelines for the proper handling of Protected Health Information (PHI), reporting possible violations to management and look at opportunities for process improvement when appropriate.
  • Receive and inspect materials delivered to the dock area to verify for accuracy in address, volume and check for damages.  Observe safety precautions when operating material-moving equipment such as pallet/electric jack when receiving.  Other responsibilities include contacting parties involved when damaged mail is received i.e. receiver, security department and or Privacy.  
  • Sort and count inbound materials by building.  Administer and process directing materials correctly to recipients and departments in a timely manner, using the Organization's electronic tracking system.  Follow the tracking system's chain of custody to ensure that each step of delivery is accounted for until final delivery.  Monitor and review delivery reports within the tracking system and resolve discrepancies found therein.  
  • Collect data pertaining to volumes of materials received and delivery times. Enter data the on corp data drive accurately and in a timely manner. Must be able to recognize and resolve discrepancies in volumes reported.
  • Handle all outbound UPS shipments; to include inspecting outbound materials for proper packaging, verifying shipping request forms and entering data accurately into the UPS shipping system.  Record data on volume of packages shipped as well as savings captured on shipments.
  • Monitor delivery status of shipped packages on a daily basis via UPS Quantum View Manage, notify customers of the transition whenever UPS makes exceptions on their shipments and works with UPS support group to resolve any discrepancies.
  • Review UPS invoice for third party users, shipping documents, accuracy in shipping charges and valid account users before submitting to Accounts Payable for payment.
  • Provide excellent customer service to internal and external customers in a timely manner. Ensure customer needs are adequately met and addressed.

  • 1 - 3 years in Mailroom, FedEx, UPS including system input and reporting
