GENERAL OVERVIEW:

The role of Off-Site Facilities Coordinator (OFC) is to support and work closely to the Facility Managers in all matters related to the 331 AHN off-site facilities. This role includes constant communication with vendors, the facilities call center, and the corporate Life Safety Directors. Financially, this role will handle all matters related to quotes, invoices, and billing to outside vendors. This role prepares many reports for the Director of Corporate Facilities and Maintenance.                                               

ESSENTIAL RESPONSIBILITIES:

  • The role of OFC includes all emergency work requests that need dispatched to outside vendors and internal technicians. (60%)
  • The OFC will maintain accurate records regarding the buildings in our Computerized Maintenance Management System (CMMS). (25%)
  • The OFC will also keep accurate records regarding Licensed Off-site Facilities. (5%)
  • Establish contact at all off-site facilities, assuring that they are trained and can utilize our CMMS. (5%)
  • Paying vendors through Coupa. (5%)

QUALIFICATIONS:

Minimum

  • 1-3 years of experience with Computerized Maintenance Management System (CMMS) - specifically Archibus
  • 1-3 years of experience as a Dispatcher
  • 1-3 years of experience in a Call Center
