GENERAL OVERVIEW

Provides professional, administrative, and secretarial support to the leadership team; provides a wide range of duties, thus relieving the management staff of routine administrative work and business activities; contributes to the efficiency and effectiveness of the department by assisting the management staff in achieving a high level of organization and productivity.

ESSENTIAL RESPONSIBILITIES

  • Manage the calendar(s) to ensure effective time management and task completion - including scheduling and preparing for appointments/meetings/conferences and daily reviews of department personal calendars. 35%
  • Direct and prioritize all business correspondence including telephones, mail, email, invoices and faxes. Take initiative to prepare / provide supporting materials so that correspondence can be acted on and expedited. 35%
  • Complete special assignments and department initiatives to ensure a level of support needed to achieve successful outcomes. 30%
  • May coordinate budgetary expenses, including but not limited to accounts payable/receivables, purchases, expense reports, travel requisitions, bank deposits, and other requests. 10%
  • Perform other duties as assigned or required.

QUALIFICATIONS

Minimum

  • Minimum 4 years advanced secretarial experience
  • Excellent technical skills, including but not limited to minute-taking, word processing,, and PC software skills (Microsoft Office Suite preferred)
  • Ability to prioritize and provide for effective time management
  • Must utilize appropriate tact and discretion in dealing with highly confidential and/or sensitive material

Preferred

  • Associate's degree preferred
